1. Organiser

The EURAICA 2027 congress (the "Event") is organised and operated, for registration, payment and invoicing purposes, by:

(the "Organiser").

The EURAICA name and brand are the exclusive property of Mr Alexandre Templier, founder and Chair of the Event. TechToMed acts as operational, administrative and financial partner for the 2027 edition, under licence from the right holder.

2. Purpose and scope

These Terms and Conditions ("T&Cs") govern the registration of any person ("Participant") to the Event and the relationship between the Participant and the Organiser in connection with that registration. Registering to the Event implies full and unreserved acceptance of these T&Cs.

The Event is a scientific congress scheduled to take place on 24-25 February 2027 at the Pullman Brussels Centre Midi (Brussels, Belgium). Dates, venue, format and programme are indicative and may be adjusted in accordance with Article 9.

3. Registration

Registration is completed online via the Event website (www.euraica.com) and is only final once the registration form has been fully completed and full payment has been received.

The Participant undertakes to provide accurate, complete and up-to-date information. The Organiser reserves the right to refuse or cancel any registration that is incomplete, inaccurate, or that does not comply with these T&Cs.

Certain categories of registration (e.g. reduced rates, academic rates, invitations or complimentary passes) may be subject to specific eligibility conditions and to verification. If eligibility is not established, the Organiser may require payment of the applicable standard rate.

4. Prices, VAT and invoicing

Registration fees are stated in euros (€) on the Event website. The applicable rate is the one in force on the date the registration is finalised.

Value Added Tax (VAT) is applied in accordance with the tax regulations in force applicable to the Event. Because the Event physically takes place in Belgium, admission (registration) fees may be subject to Belgian VAT at the rate in force. The applicable VAT treatment and rate are shown at the time of registration and detailed on the invoice.

An invoice is issued by the Organiser and made available to the Participant following payment. Any request relating to invoicing (billing entity, purchase order reference, VAT details) must be communicated at the time of registration.

5. Payment

Payment is made online at the time of registration by the secure means offered on the website (in particular payment card via the payment provider, or bank transfer where expressly offered). Registration is confirmed only upon receipt of full payment.

Where payment by bank transfer is authorised, the Participant is responsible for any bank charges, and access to the Event may be conditional upon receipt of the funds before the Event.

6. Confirmation

Once registration and payment are complete, the Participant receives a confirmation by email together with the corresponding invoice. This confirmation must be presented (in printed or digital form) at the registration desk in order to collect the badge and access the Event.

7. Cancellation by the Participant - refunds and substitution

Any cancellation must be notified to the Organiser in writing at contact@techtomed.com or contact@euraica.com. The refund applicable is determined by the date on which the written cancellation is received:

More than 60 calendar days before the first day of the Event: refund of the fees paid, less an administrative fee of 25% of the fees paid.

Between 30 and 60 calendar days before the first day of the Event: refund of 50% of the fees paid.

Fewer than 30 calendar days before the first day of the Event, or in the event of no-show: no refund.

Substitution: a registered Participant who is unable to attend may be replaced by another person from the same organisation, at no additional charge, up to 7 calendar days before the Event, subject to prior written notice to the Organiser and to the substitute meeting any eligibility conditions attached to the original registration.

Any VAT adjustment or refund is processed in accordance with the applicable tax rules.

Right of withdrawal: in accordance with Article L221-28 12° of the French Consumer Code, the statutory right of withdrawal does not apply to leisure and event services to be provided on a specific date or within a specific period. Cancellations are therefore governed exclusively by the scale set out above.

8. Accommodation and travel

Registration fees cover access to the Event and the services expressly listed at the time of registration only. They do not include travel, accommodation, or any expenses not expressly mentioned.

Hotel rooms are booked and paid for individually by each Participant, in particular through any dedicated booking arrangement communicated by the Organiser. The Organiser is not a party to, and accepts no liability in respect of, accommodation or travel arrangements made by the Participant.

9. Modification, postponement or cancellation by the Organiser

The Organiser endeavours to run the Event as announced but reserves the right, in particular for organisational, safety or health reasons, to modify the programme, the speakers, the format, the dates or the venue of the Event. Such modifications do not, in themselves, give rise to any right to a refund where the Event is substantially maintained.

If the Organiser cancels the Event, registered Participants will be offered, at the Organiser’s discretion and subject to Article 10, either the transfer of their registration to a rescheduled date or a refund of the registration fees paid. In such a case, the Organiser’s liability is limited to the amount of the registration fees paid by the Participant, to the exclusion of any other cost, expense or indirect damage (in particular travel and accommodation).

10. Force majeure

The Organiser shall not be held liable for any total or partial non-performance of its obligations caused by an event of force majeure, as defined by applicable law and case law (including, without limitation, epidemic or pandemic, government restrictions, natural disaster, strike, unavailability of the venue, or failure of an essential supplier). In such circumstances, the Organiser will seek, as a matter of priority, to postpone or adapt the Event, and will handle refunds, credits or transfers in accordance with the arrangements agreed with the venue and suppliers.

11. Conduct, access and right of admission

The Participant undertakes to behave appropriately and to comply with the venue’s internal rules and safety instructions. The Organiser reserves the right to refuse or withdraw access, without refund, from any person whose behaviour disrupts the proper running of the Event or endangers other participants.

Badges are personal and non-transferable (subject to the substitution provided for in Article 7).

12. Image and recordings

The Event may be photographed, filmed or recorded. By attending, the Participant acknowledges that they may appear incidentally in such photographs, videos or recordings, which may be used by the Organiser and the Event’s right holder for information, reporting and promotional purposes relating to the Event. Any Participant who does not wish to appear may notify the Organiser in writing and take reasonable steps on site.

Presentations, sessions and materials shown during the Event may be subject to specific rules regarding recording or reproduction; the Participant undertakes not to record or reproduce such content without prior authorisation.

13. Intellectual property

The EURAICA name, brand, logo and visual identity are the exclusive property of Mr Alexandre Templier. The programme, contents and all materials made available before, during or after the Event are protected by intellectual property law and remain the property of their respective right holders. Registration grants the Participant no right to reproduce, distribute or exploit these elements beyond strictly personal use.

14. Liability

The Organiser is bound by an obligation of means. Its liability is limited to direct, foreseeable and duly established damage, and may not exceed the total amount of the registration fees paid by the Participant. The Organiser cannot be held liable for the Participant’s personal belongings, nor for any damage resulting from the Participant’s own conduct or from circumstances beyond the Organiser’s reasonable control.

Each Participant is responsible for holding the insurance cover appropriate to their participation in the Event.

15. Personal data

The personal data collected in connection with registration is processed by the Organiser for the purposes of managing registrations, running the Event, invoicing and, where applicable, related communications, in accordance with Regulation (EU) 2016/679 (GDPR) and the applicable French data protection law.

Subject to the Participant’s right to object at any time, the Participant’s professional contact details may also be used to inform them of future editions of EURAICA and directly related activities. Any other use is subject to separate, explicit consent.

Participants have the right to access, rectify, erase, restrict, object to and port their data, which may be exercised by writing to contact@techtomed.com. Further information is available in the Event’s Privacy Policy.

16. Consumer mediation

In accordance with Articles L611-1 et seq. of the French Consumer Code, any Participant acting as a consumer may, after first contacting the Organiser, refer the matter free of charge to a consumer mediator with a view to the amicable resolution of any dispute. 17. Governing law and jurisdiction

These T&Cs are governed by French law, subject to any mandatory provisions of the law of the place where the Event is held and to mandatory consumer-protection rules. Any dispute relating to their validity, interpretation or performance shall first be submitted to an attempt at amicable resolution. Failing an amicable agreement within thirty (30) days of the written notification of the dispute, the dispute shall be submitted to the competent courts of Paris, subject to any mandatory rule of jurisdiction applicable to consumers.
